The Saint Mary's College Office of Special Events is the clearinghouse for events at Saint Mary's College: classes, workshops, presentations, exciting performances, concerts, engaging lectures and fun summer programs. Here you will find calendars and links for events happening on campus and in our community. The Special Events staff is experienced in coordinating a variety of services to help create successful events.
EMS - Management System - is the program used by Saint Mary’s College to manage campus events.
Campus agencies, including the Registrar, Building Services, Maintenance, Media Services, Sodexo, Special Events, and Athletics use this system to track service orders, reserve rooms, and maintain class schedules. EMS is the foundation upon which all our events are planned and implemented.

Access to Virtual EMS is gained through any web browser. Some tips:
Room Requests are made at this site. Events that require room reservations, food service or special set up may be submitted for approval by using this feature. Users may create an account under the “my account” menu. Accounts are required for any web request submission. Account login/password entries do not necessarily have to match an existing SMC account.
Once the account is created, the user may go directly to the room reservation tab and begin entering information.
Planning: Plan events at least two weeks prior to the event date to make certain that space is available and the event may be given adequate support. It is possible that late submissions may not be approved.
Event overload: At given times during the year, the number of campus events may be increased, usually when major College events are scheduled. During these times rooms and services may be limited. Try to avoid busy times, including: Honors Convocation week, Commencement week, Board of Trustee meetings, and Welcome week
Once a request has been submitted, the Office of Special Events will analyze the request for approval. For information on how to use this system and for general information on planning events, please view our event planning guide.
Browse for Space - to see the reservation book. This is a powerful and comprehensive view of campus activities. Sort by facility, room feature, room type, date, or select all to see everything. The search button activates this view.
Browse Facilities - to view the seating capacity for each room. Filter by facility or room type. This feature will allow the viewer to see various room capacities within different set-ups. The filter button activates this view.
Access to Master Calendar is gained through any web browser. http://spev.saintmarys.edu/MasterCalendar/
Five calendars feature various events on campus.
Academics: Office of Admissions events, faculty meetings, seminars, lectures
Student Life: Athletics, Student Events, student organizations, Career Crossings
Cultural Arts: Lectures, performances, recitals
Mission: Mass Schedules, Campus Ministry activities
Alumnae/Visitors: Alumnae events, guests visiting campus, weddings
A “tool tip” feature allows the viewer to see a description of events.
One or a combination of calendars may be selected. The keyword search will also help locate specific events.
Event types are color coded. Holidays and special dates appear in red and may pertain to the specific calendars.
Submitting an event
Event submissions may be made using the submit event feature, an account is not required to submit an event for approval. Events do not necessarily have to be linked to a space in order to be planned but if space is required for the event, the link to Virtual EMS should be used: http://spev.saintmarys.edu/VirtualEMSCampus/

Saint Mary's College Summer CampsEach July, Saint Mary's College offers a wide variety of summer camps for talented young women. In keeping with the Saint Mary's tradition of educating the whole person, these summer camps present opportunities to attend Fine Arts Camp, Athletic Camps, Saint Mary's Summer Academy, Spiritual Leaders and Encuentro. Visit the camp Web site for additional information and to register for the camps.
If you desire directional signs for your event, please download and complete the sign order form and email it to csallak@saintmarys.edu. Please allow four weeks to complete all signage design projects. Sign stands must be reserved from Special Events. Number of stands is subject to availability.
All signage must have prior approval from the Office of Special Events before being posted. Signs may not be attached to existing trees, poles or current signage on college property. Only appropriate self-standing sign frames provided by the college are allowed to be used on campus. Signs posted without approval will be immediately removed. Damage caused to college property and labor costs involved in removing signs will be invoiced to the client.
Note: Signage may not be available if the ground is frozen.
Student Work ProgramTeamwork is a cornerstone of Special Events. Student workers collaborate with the Special Events staff in building dynamic and productive teams.
Most students work an average of four to eight hours a week.
